How to invite a single user (Single Invite)

The Single Invite mode gives you complete control over every aspect of one account creation. Navigate to Administration → User registration and select Invite.

1 — Account details

Enter an Email address and a Username. As you type the email, the username field is pre-filled automatically with the part before the @ symbol. Both fields are checked in real time against existing records:

  • A green border and checkmark means the value is available.
  • A red border means it is already taken. The submit button stays disabled until both fields are valid.

2 — Password

By default the account is created as Pending — no password is set and the user will receive an activation link to create their own. Enable Set a random password to activate the account immediately: a secure password is generated and included in the invitation email.

Copy the password immediately. If you set a random password it is shown once in the confirmation message. It is not stored in plaintext and cannot be retrieved afterwards.

3 — Digital Identity (optional)

If you have the required permissions, enable Create Digital Identity record to also create a master_data entry at the same time. A form expands with fields for name, date of birth, citizenship, birth location, and tax code.

Alternatively, enable Privacy Mode: the identity record is created with the username as a placeholder name. The user fills in their real details themselves after logging in.

4 — Invitation email

Choose one of two delivery options:

  • Send invitation now — the user receives an email with an activation link (or their credentials if a password was set). You can add optional notes to be appended to the email.
  • Create silently — the account is created but no email is sent. The Password option is automatically disabled in this mode. Send the invitation later from Pending Activation.

Email preview

Before submitting, click Preview email to see an approximate rendering of what the user will receive. No email is sent at this stage. From the preview modal you can also confirm and submit directly.

The "What will happen" summary

As you configure the options, a live summary box updates automatically to describe exactly what will be created and sent. Review it carefully before submitting — it is the clearest indication of the outcome.
