AI: Analyze existing permissions to suggest useful profiles

Definition

As your organization grows, managing permissions one by one becomes inefficient. The User Audit view allows you to reverse your perspective: instead of looking at an application and asking "Who usually has access to what?", you look at the existing manual permissions and ask "Are there any frequest patterns through my users?".

This analysis is critical for identifying patterns in manual permissions and converting them into efficient Profiles.

Accessing the User Audit

To begin analyzing your user base, navigate to the main Permissions Control Center dashboard. Select a specific application, look for the Analyze user base button.

Strategy: From Manual to Profile

If you notice that several users (e.g., all Shift Supervisors) share the exact same set of manual permissions for an application, this is a strong indicator that a Permission Profile is missing. For example for the same application you can have a "Auditor" access profile, an "Global supervisor" profile, etc...

1. Spot the Cluster

Click on the Analyze user base button and see the list of proposed profiles (if available).

2. Create the Profile

Navigate to Profile Definitions and create a new profile (e.g., "Global Supervisor"). Enable the specific permissions you identified in your audit.

3. Assign and Clean Up

Assign the new profile to those users. The system will automatically grant the necessary rights. You can then safely revoke their individual manual permissions, knowing the profile now handles their access centrally.

Benefit: Converting manual clusters into profiles reduces administrative workload and ensures that the next time you hire a "Global Supervisor," you only need to make one assignment instead of five.
