Automatic System Rules (The "Robot" Access)

Difference from Profiles

Unlike Permission Profiles (which you manually assign to a user), Automatic Rules are "always-on" logic checks that run in the background. They dynamically grant access based on who the user is, rather than what role you gave them.

Viewing Active Rules

When you open a permission, look for the Automatic Access Rules box in the header area. This box lists every group of users that receives this permission automatically.

  • The Badge: Each rule is displayed as a pill badge (e.g., Heads of Unit).
  • Overrides: If a user in that group has a manual permission that conflicts with the rule, a yellow warning icon will appear on the badge. Hovering over it will show you which specific users are overriding the rule.

The "Auto" Source Badge

In the user list, employees gaining access via these rules are marked with a distinct badge style:

  • Source: auto
  • Visuals: The row typically has a soft background color (e.g., light blue or green) matching the specific rule type.
  • Detection: The system shows a "Detected" date, indicating exactly when the system noticed the user qualified for this rule.
