How to define a Permission Profile

Definition

Defining a profile allows you to create a standard "template" of permissions that can be reused across your organization. This feature is typically restricted to high-level administrators or Founders.

1. Accessing the Profile Definitions

Navigate to the Permissions Control Center dashboard for the specific application you want to configure. Click on the Profile Definitions tab in the navigation bar.

Note: If you do not see this tab, your account may lack the specific define_profiles right required to view it.
Note: If the application only has one permission, you will be directly redirected to the permissions page and the profile feature is not enabled.

2. Creating a New Profile

Click the Create New Profile button. You will be prompted to enter the basic metadata for the role:

  • Profile Name: A clear, descriptive title (e.g., "Senior Sales Lead"). The system will check to ensure this name is not already in use for this application.
  • Description: A brief summary of what this role entails (e.g., "Full access to sales dashboards and team management tools").

3. Configuring Permission Sets

The form will display a list of Available Permissions for the current application. For each permission, you can define the standard value for this profile:

  • Enable/Disable: Decide which permissions are part of this bundle.
  • Set Values: For complex permissions (like "Report Categories"), select the specific items the profile should include (e.g., checking "Sales Reports" but leaving "HR Reports" unchecked).

Note: To create a new profile definition, it is required that at least two permissions are included in the profile.
Scope Limitation: Profiles are generally designed for Global or Role-based permissions. If a permission requires a specific department (e.g., "Manage ONE specific store"), it is often better handled via a Manual Grant or by using the profile in conjunction with the user's primary department settings.

4. Saving the Profile

Once configured, click Save Profile. The system stores the definition and makes it immediately available for assignment. If you are editing an existing profile, saving changes will trigger a background sync that updates the access rights for all users currently assigned to this profile.
