How to add a monitored mailbox in the IT Protocol registration

Description

The IT Protocol / Documents management application allows you to monitor mailboxes so that you can import emails and attachments in the documents registration system.

Operators that belong to the UOP (Protocol operation unit) are enabled to manage arrival documents and register them in the protocol system.

Set up a mailbox to monitor

Access the IT Protocol application and enter the "Configuration" option in the "Management section".

From the following page, select Mailbox configuration

The initial view will propose you the currently registered mailboxes within your organization.

Add a new entry to the monitored mailboxes

Click on the Add source button and you will be prompted with a modal to define the new mailbox to monitor.

You will be asked to provide different information:

  • The email address of the mailbox
    If the mailbox is a PEC (system which allows users to send e-mails with legal value equivalent to a registered letter with return receipt) you can flag the related option.
  • A label to easiliy name and recognize the mailbox
  • Connection details
    • Host
    • Port
    • Type (IMAP or POP3)
    • Security layer (SSL, TLS, or none)
  • Username
  • Password
    Please note that password is encrypted within our service

Once filled in, you can Test the connection to see if it is successful and you can proceed with saving.

Note: From the initial view, you can test the health of the connectivity by clicking on the test connectivity button
