How to Assign or Change a User's Structure in Manage Memberships

Once you have found a user in the search view, click their #ID button to open their assignment page. The page is split into two columns: the profile card on the left and the assignment panel on the right.

The profile card

The left column shows the user's photo, full name, personal code, and account status badge, followed by a summary of their personal details (tax code, date of birth, citizenship, sex). This information is read-only here — it is managed in the Data Management application.

Assigning or changing the referral structure

  1. In the Home Structure card on the right, open the Structure dropdown. Departments are grouped by Area.
  2. Select the target Department — or choose — Remove assigned structure — to leave the user unassigned.
  3. Click Save.
Note: The assignment is saved immediately. The user's session is updated in real time — they do not need to log out for the change to take effect in the platform.

Role obligation check

After saving, the system automatically checks whether the user has a formalized leadership role for their new structure. This matters when the user is set as the leader of that Department in the organizational chart.

Status What it means What to do
Role obligation met The user leads this structure and has a valid formal role assignment. No action needed.
Leader — no formal role The user is the leader of this structure but has no active role assignment on record. Click Formalize as responsible to open the assignment form in Assign Responsibles pre-filled for this structure.

The three tabs

All Memberships

Lists all organizational roles this user holds — both as a Leader (head of a Department) and as a Manager (secondary manager of an Area). Each row shows the structure with its area breadcrumb, the role type, and — if you have the relevant permission — a link to manage that structure directly.

Leadership Obligations

Shows every Department where this user is set as leader, with a status indicator for each:

  • Role formalized — valid formal role exists.
  • Ad interim — an interim appointment is in place.
  • Not formalized — no active role, with a shortcut button to create one.

History Log

A full chronological timeline of all structure and role changes for this user. See the dedicated article Membership History Log for a detailed explanation of each event type.

Editing restrictions: If the user holds a privileged profile (profile_pro), and you do not have manage_personal level 2, the structure dropdown is disabled and a locked badge is shown. Contact an administrator with higher permissions to reassign such users.
