In OpenStudio, every person has two separate records: a User Account (login credentials) and a Digital Identity (personal data). Both are needed to fully use the platform, but they can be created independently or together.
You can register new users from Administration → Invite Someone. Only the Founder and members explicitly authorised for this application can access it.
The four registration paths

Single Invite
Provide an email address and a username (auto-filled from the email prefix). Both are validated in real time — a green border confirms the value is available, red means it is taken.
You can optionally set a random password (activates the account immediately) or leave it as Pending so the user creates their own password via an activation link. A Digital Identity record can also be created at the same time if you have the required permissions.
Bulk Invite
can_bulk_invite — granted to the Founder by default. Grant it via Manage Permissions → Invite Someone.Bulk Invite supports two methods: entering rows manually, or uploading a CSV file.
Manual rows
Add as many rows as needed, configure per-row options (Identity, Password, Silent), and click Process Invitations.
CSV upload
Download the CSV template, fill it in, and upload it. The system shows a preview of all rows before any accounts are created, letting you configure per-row options and spot errors. Only after you confirm does the processing begin.
Expected columns: Email, Username, First Name, Last Name, Sex (M/F/O), Date of Birth (YYYY-MM-DD), Citizenship — only Email is required.
Register personal information (existing users)
Use this option to create a Digital Identity for a user whose account already exists. Search for the user in the registry and complete the guided form.
Complete registration (recommended)
Creates both the user account and the Digital Identity in a single flow — the most efficient path for new staff members.
