If you open the Spaces and Resources Reservation application and cannot find a space or resource you expected to see, one of the following conditions is likely the cause.
For Spaces
1. The Space is not marked as Bookable
In the Manage Spaces application, each space has a "Can it be booked?" setting. If this is set to No, the space will not appear in the reservation interface even if it exists in the system.
Solution: Contact an administrator or your Space Referent to update the space settings. Refer to How to define Spaces within my organization.
2. Permission scope limitation
Depending on your permissions, you may only be able to reserve spaces that belong to your own department. Spaces from other departments will not be visible.
Solution: If you need access to a space in another department, ask your Space Referent to submit the reservation on your behalf, or request a permission extension from your administrator.
3. No Space Referent is assigned
A space can only be booked if its reference department has an active Space Referent. If no one has been designated, the space is effectively unmanaged and will not appear.
Solution: Ask an administrator to designate a Space Referent for the relevant department.
For Resources
1. The Resource has not been created yet
Resources must be manually entered by an administrator. If the equipment you need is not listed, it has not been added to the system yet.
Solution: Submit a request to your administrator to add the resource to the system.
2. Same permission scope limitation
Identical to the spaces scenario — you may only see resources belonging to your own department.
General check
In the top-right corner of the application, a small indicator shows whether your access is scoped to All structures or My structure only. If you see "My structure only" and believe you should have broader access, contact your administrator.
