Compliance Reports

The Reports mode provides four panels that highlight gaps in career and role records across the organization. Open it from the landing page of Assign Responsibles.

Members without a Career Framework

Lists all users who belong to a structure (i.e. have a referral Department assigned) but have no active career framework on record. For each person, you can open their record directly or go to their full Staff Career Record. If the person is also a structure leader with no formal role, a second badge flags that too.

Structures without a formalized role

Lists all Departments where no active role assignment of type structure responsible exists. This means the structure has a leader set (via Manage Structures) but no formal appointment document backing it up.

Structures with an expired role

Lists Departments where a role assignment existed but has since expired, and no new active one has been created. These are structures that had formalized leadership in the past but are currently uncovered.

Members with a framework but no structure

Lists users who have an active career framework but whose referral structure is either empty or set to ### (unassigned). This is the reverse gap — career data without an organizational placement.

How to use these reports: Run them periodically — after organizational restructuring, after bulk user imports, or at the start/end of the year — to ensure career records are complete and up to date.

Career Framework Configuration

The Configuration mode (visible to the Founder and users with assign_responsibles_config) manages the list of framework codes used in the Career Framework dropdown.

Viewing existing codes

The configuration page lists all active framework codes with their acronym, full description, and the number of users currently assigned that code.

Creating a new framework code

  1. Click New.
  2. Enter a Descriptive title — the full name shown in dropdowns (e.g. "Director").
  3. Enter a unique Acronym — up to 3 characters, no spaces (e.g. DIR). The system checks availability in real time as you type.
  4. Click Confirm. The code is immediately available for assignment.

Editing a framework code

Click the edit icon next to a code to change its descriptive title. The acronym is read-only once created — it cannot be changed because it is referenced in existing career records.

Deleting a framework code

The delete icon is only shown for codes with zero users assigned. If a code is in use, it cannot be deleted — reassign or terminate those career records first.

Important: Framework codes are shared across the entire organization. Changes to a code's title affect how it appears in all existing records retroactively. Deletions are permanent — there is no recycle bin for configuration items.
